Implementation

IOI believes in customizing a workflow solution to meet our client’s specific needs. We recognize that the first step is understanding your existing workflow(s) and data management system(s) so we can advise what is necessary to best optimize your existing assets and best practices.

Here is how we do it:

Step 1: Kick-Off Meeting

The first step will be to arrange a kick-off meeting with key personnel from both of our organizations. The goal of this initial meeting is to identify client expectations, deliverables, and time frames, as well as introduce project team members.

Here are a few key points covered during this kick-off meeting:
  • Define scope of the project
  • Identify key personnel
  • Outline schedule for Discovery Audit

Step 2: Discovery Audit

The primary goal of the Discovery Audit is to identify the strengths, challenges and areas for improvement within your organization. This is a collaborative effort requiring the participation of stakeholders from your organization — usually senior management and end-users. IOI will come on-site for two days in order to conduct interviews and evaluate  your existing technologies so we can accurately identify your specific needs.

Once this process is completed, we will analyze the information in detail and present a comprehensive report — outlining the steps we recommend for you to be prepared for your new workflow solution.

Step 3: Quote, Order and Procurement

Following the Discovery Audit, we will arrange a follow-up meeting to discuss the final pricing of the total workflow solution. IOI will work with your IT staff to identify the
feasibility of utilizing existing equipment and making final recommendations on any new technology that may be needed.

We will then submit a comprehensive quote. Once you
sign the quote, it becomes an order, and we will begin the procurement process against that order.

Step 4: Installation

Once the procurement process is well under way and initial delivery dates can be anticipated, IOI will map out an installation schedule per department affected by the new
system.

Here is an overview of the Installation Scheduling process:
  • Itemize the arrival of technology components
  • Coordinate installation with local personnel
  • Identify IOI personnel for the installation
  • Coordinate travel and shipping arrangements
  • Monitor procurement process
  • Adjust schedule as needed
  • Finalize installation dates
  • Complete installation

Step 5: Training

At IOI, we believe that when installing any new technology, educating our clients is an important extension of our implementation process. Following the installation and testing of any new solution, IOI technicians will work on-site with groups and individuals to ensure that users of the system, both admin and production, have a thorough understanding of the way that the technology works and how to best use it to streamline workflows and maximize resources.

We are also advocates of manufacturer-based training, and we regularly coordinate such activities with our vendor partners.

Ongoing: Status Updates

To ensure that the client is well informed on the progression of the implementation process, written status reports will be provided to all key personnel at intervals chosen by our client.  And since we value long-term relationships, site-visits are included in our ongoing support strategies, ensuring your technology investment remains relevant and profitable.
