Tapestry is an independently-owned creative media production agency based in Soho, London, and is home to approximately 200 employees. It works with globally renowned businesses across a number of creative industries, some of whom have been clients for nearly two decades.
While having only been an official customer of IO Integration the past two years, Tapestry has been using IO Integration-affiliated software DALIM for a much longer period of time. However, without a trusted partner ready to provide post-sales support and guidance — something that is just as important as the software itself — it went largely unused by Tapestry. As Tapestry has continued to grow over the years, it has noted an increased need to provide an effective system for in-house asset management, soft-proofing and approval tracking on behalf of some of its biggest clients, including the Playstation manufacturer Sony and games developer Electronic Arts (EA). For these two clients in particular, this system is necessary in order to manage and approve every graphic insert and disc cover for all of their video game titles across multiple different languages.
Although Tapestry had an incumbent software solution in place for this — which consisted of multiple software tools that were supplied by third-party vendors and pieced together by Tapestry’s in-house developers — it was not scalable enough to allow for the increase in workload. It was also too slow to keep up with client demands, with staff regularly spending up to 20 minutes trying to track down a particular graphic that required approval. These problems were amplified further in the time between August and November each year, when Tapestry’s clients were ramping up production to ensure they were ready for the holiday season.
Therefore, Tapestry required a new solution that would make the asset management and approval process quicker and easier and better accommodate business growth.

Working with IO Integration to unlock the potential of DALIM ES Software
With an existing line of communication between Tapestry and IO Integration, the two companies began working together to identify Tapestry’s specific business needs and the solution that would be required in order to ensure those needs were met.
After much discussion, it transpired that the answer lay in the aforementioned IO Integration-affiliated DALIM ES software that it had previously acquired and then abandoned, albeit in an updated version.
Martyn Cook, client solutions director, IO Integration, said: “It turned out that Tapestry was already familiar with the DALIM ES software we had proposed as a solution — they had purchased it back in 2011 but hadn’t been given any advice on how to best use it, and so it simply ended up getting left on the shelf, so to speak. Therefore, we needed to bring the software back to life and help them get reacquainted in order to reap all the benefits.”
The IO Integration team spent a considerable amount of time ensuring the software was integrated into Tapestry’s existing infrastructure as best as possible. This involved spending 30 days located on-site at Tapestry’s London office and maintaining regular communication between IO Integration and Tapestry’s clients.
The final implemented solution is an amalgamation of the DALIM ES software and another offering called Symphony, an internal management information system (MIS) that helps to drive the workflows, and is aptly known as ‘Symphony ES’. Each client has its own online dashboard for approval purposes that essentially works as an inbox of tasks, listing only the assets that require feedback or attention for each user. Once a file has been dealt with by one user, it is removed from their dashboard and is sent to the next user in the process to action. Additional dashboards for new and future clients can also be easily added to the system.

Thanks to IO Integration’s guidance and involvement in every step of this project, Tapestry is now able to reap the rewards of an end-to-end solution that fits seamlessly into its DAM, review and approval workflows. With every single asset uploaded and approved to this centralised system, Tapestry has been able to save themselves a significant amount of time. What previously took users 20 minutes now takes just a matter of seconds. This is especially important with global clients that require multiple variants of the same artwork for their various distribution channels.
This solution also provides an increased emphasis on security. The system itself is based in a highly secure data centre, which not only meets the stringent requirements of Tapestry’s clients but provides easy scalability for Tapestry itself. As for the security features within the software, it allows users to ensure certain assets can only be seen by certain individuals. This is incredibly important for clients who might be working on secret projects.
